Scanner Staff Guide


Step-by-step instructions for setting up and using the ticket scanner app, greeting guests, and handling free drink claims.

Getting Started

iPhone Setup (Safari)

  1. Open Safari and go to your venue's /scan page
  2. Tap the Share button (box with upward arrow at the bottom of the screen)
  3. Scroll down and tap Add to Home Screen
  4. Tap Add — the scanner icon will appear on your home screen
  5. Open the app from your home screen and enter the staff PIN when prompted

Note: Camera access requires Safari on iPhone. Third-party browsers (Chrome, Firefox) on iOS cannot open the camera for scanning.

Android Setup (Chrome)

  1. Open Chrome and go to your venue's /scan page
  2. Tap the three-dot menu (⋮) in the top-right corner
  3. Tap Add to Home screen, then tap Add
  4. Open the app from your home screen and enter the staff PIN when prompted

Admitting Guests

When a guest presents their ticket QR code:

  1. Tap Start Camera to activate the scanner. Hold the camera steady over the QR code — it will scan automatically.
  2. Alternatively, tap Enter Code to type the 6-character code from the ticket manually.
  3. A green result means the ticket is valid. Review the guest's name and ticket details on screen.
  4. Tap Admit — Mark as Claimed to check the guest in.

Ticket on Hold

If a guest's ticket shows a hold status or payment has not cleared:

  • Greet the guest warmly: "Welcome! I just need to quickly check your booking — please bear with me for a moment."
  • Ask the guest to step aside briefly while you contact the duty manager.
  • Do not admit the guest until payment is confirmed or the manager approves entry.
  • Once the manager clears the booking, return to the scanner to complete admission.

Already Admitted Tickets

If the scanner shows Already Admitted (orange warning screen):

  • Do not re-admit the guest without manager approval.
  • Note the original admission time shown on screen.
  • Politely ask the guest to wait: "I can see this ticket has already been used — let me get the manager to help."
  • Contact the duty manager immediately.

Free Drink Claims

Guests with a complimentary drink included in their ticket will see a Mark Drink Claimed button after admission:

  1. Ask the guest: "What can I get you to drink?"
  2. Tap 🍺 Mark Drink Claimed to record the redemption in the system.
  3. Direct the guest to the bar with their order.
  4. Each ticket allows only one drink redemption — the button will disappear once claimed and cannot be used again.

Troubleshooting

  • Camera won't open on iPhone: Go to Settings → Safari → Camera and set it to Allow. Then reload the scan page in Safari.
  • QR code won't scan: Ensure the code is well-lit and hold the camera steady. Try tapping Enter Code to type the 6-character code manually.
  • Page won't load: The app works offline once it has been loaded. If it won't load at all, check your internet connection and try again.
  • PIN not working: Contact the duty manager for the current staff PIN.
  • App looks outdated: Close and reopen the app from your home screen. If the issue persists, delete the icon and re-add it from Safari/Chrome.
